Objective

Design a product that helps organizations visualize the state of their current organization and provide insight about ineffiencies.

Challenge

The organizational design software suite was hindered by inefficiencies and a lack of cohesive user experience, particularly for teams managing reorganizations, mergers, and acquisitions. Users relied heavily on Excel for these complex tasks, leading to fragmented workflows, limited insights into organizational inefficiencies, and slow execution. The challenge was to reimagine the suite to:

  • Provide users with actionable insights into their organization's current state.
  • Develop tools to diagnose inefficiencies and uncover opportunities for improvement.
  • Accelerate the process of restructuring with intuitive, powerful features.

Approach

Under my leadership, we undertook a massive redesign effort to align the product suite with user needs and deliver a cohesive experience. The initiative included:

  1. In-Depth User Research:
    • Conducted extensive interviews and usability studies with users managing reorganizations and mergers.
    • Identified pain points, such as the cumbersome nature of existing workflows and the lack of customizable diagnostic tools.
    • Mapped out ideal user journeys to streamline processes and enhance efficiency.
  2. Design Systems Implementation:
    • Built a comprehensive design system to ensure visual and functional consistency across the suite.
    • Established reusable components and interaction patterns to improve development speed and usability.
  3. Innovation and Iteration:
    • Facilitated ideation sessions with stakeholders to explore diverse approaches.
    • Rapidly prototyped and iterated on concepts, incorporating feedback from cross-disciplinary teams and users.
    • Embedded high-quality UX principles, ensuring an engaging and intuitive experience.
  4. Strategic Decision-Making:
    • Used design to influence strategic product decisions, balancing business goals with user-centered design.
    • Provided constructive feedback and mentorship to a globally distributed team of four designers, fostering an innovation-driven culture.
  5. Delivering Insights and Tools:
    • Designed features to locate inefficiencies and highlight opportunities for cost savings.
    • Introduced tools for quickly identifying and modifying roles in bulk, accelerating restructuring processes.
    • Created interactive dashboards that visualized current organizational states and modeled future states with improved efficiency.

Result

The redesign transformed the software suite into a powerful, intuitive tool that:

  • Increased Task Efficiency: Enabled organizations to execute restructuring projects faster, with tools boosting task efficency 10x.
  • Boosted User Adoption: Achieved a 5% annual growth in user adoption, driven by improved usability and feature enhancements.
  • Living Documentation: Provided a dynamic and accessible repository of processes, fostering continuous improvement and adaptation.
  • Enhanced Strategic Insights: Empowered users to make informed decisions through real-time diagnostic tools and actionable insights.
  • Fostered Collaboration: Streamlined workflows for globally distributed teams, leveraging the design system for consistent and efficient execution.

Key Highlights:

  • Directed the design strategy for a robust enterprise software suite, addressing organizational design, mergers, and business transformations.
  • Managed a distributed design team across multiple time zones, optimizing collaboration and coaching designers to deliver high-impact solutions.
  • Spearheaded a user-centric redesign with incremental feature rollouts, minimizing disruption while maximizing value.
  • Bridged business objectives and design principles to create engaging, easy-to-use UX in high-content environments.
  • Fostered divergent thinking, encouraging radical ideas that drove innovation and evolved the product suite.

This initiative not only revitalized the software but also underscored the power of design to influence strategic decision-making, drive business outcomes, and deliver exceptional user experiences.

Decision Mapping (Decision Lab)

Objective

Design a product that helps organizations synthesize their top processes, identify decision-making roles, and improve overall efficiency.

Challenge

Process mapping, a critical step for organizational efficiency, is often time-consuming and complex, requiring collaboration from multiple C-suite executives and department heads. The intricate web of decision branches and undefined responsibilities makes it difficult to create actionable maps that organizations can implement effectively. Traditional methods are not only slow but often result in unclear documentation and a lack of accountability, leading to inefficiencies during implementation.

Approach

With two decades of experience in strategy-driven design and leading cross-functional teams, I spearheaded a comprehensive research initiative to uncover the pain points of current process-mapping methods:

  1. Research Phase
    • Conducted in-depth interviews with stakeholders from various industries, including consultants, C-suite executives, and operational managers.
    • Observed and documented how organizations approach process mapping, from initial consulting engagements to post-project implementations.
    • Identified common challenges, such as overlapping responsibilities, a lack of accountability, unclear decision points, and the absence of living documentation for reference.
  2. Insights Gained
    • Many organizations lacked a cohesive method to track process steps and assign responsibility effectively.
    • Decision branches were often poorly defined, leading to delays and errors.
    • Once consulting engagements were complete, there was minimal continuity in implementing or adapting processes, as documentation was static and siloed.

Solution

We developed a sophisticated software solution designed to address these inefficiencies.

  1. Core Features
    • Dynamic Process Mapping: Intuitive tools for visually mapping processes with built-in decision branching logic.
    • Accountability Assignments: Embedded RACI (Responsible, Accountable, Consulted, Informed) framework to ensure clarity in role assignments for each process step.
    • Smart Heuristics: Real-time analytics to flag areas of concern, such as bottlenecks or unclear decision ownership, during the mapping process.
    • Living Documentation: A continually updated knowledge base accessible to all relevant stakeholders during and after implementation.

Result

The impact of this innovation was transformative:

  • Efficiency Gains: Reduced the time required for process mapping by over 200%, significantly accelerating project timelines.
  • Improved Accountability: Enhanced clarity in role assignments, reducing confusion and improving decision-making speed.
  • Living Documentation: Provided a dynamic and accessible repository of processes, fostering continuous improvement and adaptation.
  • Operational Improvements: Achieved up to 25% increased efficiency in implementation phases, enabling organizations to realize their goals faster.
  • Cost Savings: Cost reductions stemming from increased efficiency, role clarity, and faster project delivery.
